There are two kinds of AI assistant for business: one that helps your staff write, answer email, work with documents and research, and one that answers your customers. For your team, the best choice usually follows the software you already use: Microsoft 365 Copilot if you run on Microsoft 365, Gemini if you run on Google Workspace, and otherwise ChatGPT Business or Claude Team, both from $20 per user a month billed annually. How we chose and compared these assistants

"AI assistant for business" means two different things, and most lists mix them up. We split this guide in two: assistants your staff use at work, and assistants that answer your customers. For each tool we read the vendor's own pricing, product and privacy pages on October 7, 2026 and looked at:

  • What it does day to day: drafting emails, summarizing documents and meetings, research, or answering customer questions.
  • Where it works: inside Outlook and Word, inside Gmail and Docs, in its own app, in a team wiki, or on your website.
  • Price and billing: per user or per plan, and whether the price is billed monthly or annually.
  • What the vendor says about your data: in particular whether business content is used to train AI models, quoted as the vendor states it.
  • Limits: minimum users, required base plans, usage limits and what it doesn't do.

Which kind of AI assistant do you need?

  • An assistant for your team works for you and your staff. It drafts a quote email, summarizes a long supplier contract, turns meeting notes into a to-do list or finds figures in a spreadsheet. It sees your files and email, so it's priced per user and its privacy settings matter most. Examples: Microsoft 365 Copilot, Gemini, ChatGPT Business, Claude Team, Notion AI, Perplexity.
  • An assistant for your customers sits on your website (and sometimes WhatsApp or Instagram) and answers visitors: prices, opening hours, whether you cover their area, your cancellation policy. It should answer only from your business information and say when it doesn't know. It's usually priced per plan, per conversation or per resolved conversation. Examples: Nexoply, Tidio Lyro, Intercom Fin, Chatbase, HubSpot Customer Agent, Zendesk.

A quick test: if the problem is "we spend too long on paperwork and email", you need Part 1. If the problem is "customers keep asking the same questions, often after hours", you need Part 2. Many small businesses end up with one of each, and that's fine: they don't overlap.

Part 1: AI assistants for your team

These assistants help you and your staff get through office work faster. Think of a plumber who dictates job notes and gets a tidy quote email back, a salon owner who asks for a summary of last month's bookings spreadsheet, or a clinic manager who drafts a new-patient letter in two minutes. None of them answers visitors on your website by itself; for that, see Part 2.

1. Microsoft 365 Copilot: best if your business runs on Microsoft 365

Microsoft 365 Copilot is built into Word, Excel, PowerPoint, Outlook, OneNote and Teams. It drafts and rewrites documents and emails, summarizes long threads and meetings, and helps analyze spreadsheets, using your work files and email as context. It also includes ready-made agents such as Researcher and Analyst. Teams features need a Teams license.

  • Pricing: for businesses with up to 300 users, the Copilot Business add-on is $21 per user a month paid yearly, or $25.20 per user a month on a monthly subscription. A promotional $18 per user a month is available until December 31, 2026, for the first year only, with an annual commitment, and only for existing Microsoft 365 customers on an eligible Business plan. The enterprise add-on, Microsoft 365 Copilot, is $30 per user a month paid yearly. Both need a qualifying Microsoft 365 plan as well.   • Privacy (as Microsoft states it): on the Copilot Business page, Microsoft says your data stays "encrypted, isolated, and private" and is never used for AI training. The enterprise page says data is "not used to train foundation models".
  • Strengths: works where your staff already write and meet; uses your own files and email as context; admin, compliance and adoption reporting for the business owner or IT partner.
  • Considerations: it's an add-on on top of your Microsoft 365 plan, so the real cost per person is both together. The $18 price is a first-year promotion that ends December 31, 2026. It gives the most value when your files are actually stored in OneDrive and SharePoint.
  • Best for: offices, clinics, accountants and trades businesses that already use Outlook and Word every day.

2. Gemini in Google Workspace: best if your business runs on Google Workspace

Gemini is Google's AI assistant built into Google Workspace: Gmail, Docs, Sheets, Slides, Drive, Meet and Chat, plus the Gemini app and NotebookLM. It drafts replies in Gmail, writes and rewrites in Docs, helps with formulas and tables in Sheets and works in Meet. It comes with the Workspace plan rather than as a separate add-on.

  • Pricing: Business Starter $7, Business Standard $14 and Business Plus $22 per user a month on the annual plan, or $8.40, $16.80 and $26.40 on the flexible monthly plan. Business plans allow up to 300 users; Enterprise is sold by Google's sales team. Starter includes the Gemini assistant in Gmail and basic access to the Gemini app, but not Gemini in Docs, Sheets, Slides, Drive or Meet, which starts at Business Standard. There's a 14-day free trial. Google Workspace pricing.
  • Privacy (as Google states it): Google says your content is "not human reviewed or otherwise used for Generative AI model training outside your domain without permission", and that Gemini doesn't share your content outside your organization without permission. Admins can turn Gemini on or off for users.
  • Strengths: the price includes email, storage and video calls as well as the AI; no add-on to manage; works inside the tools a Google-based team already opens every morning.
  • Considerations: on Starter the AI is limited to Gmail, so most businesses need Standard or above to get it in Docs and Sheets. It's most useful when your documents are in Google Drive.
  • Best for: small teams that already run their email and documents on Google, such as a restaurant group sharing rotas in Sheets or a small agency working in Docs.

3. ChatGPT Business: best general-purpose assistant for small teams

ChatGPT Business (formerly ChatGPT Team) is ChatGPT in a shared, private workspace for your company, with admin controls. Staff use it for drafting, summarizing, analyzing files, brainstorming and research. Connectors let it work with other apps once an admin turns them on, and it includes Codex for coding work.

  • Pricing: $20 per user a month billed annually, or $25 per user a month billed monthly, with a minimum of 2 users. ChatGPT Enterprise is sold through OpenAI's sales team with no published price. ChatGPT pricing.
  • Privacy (as OpenAI states it): "No training on your business data by default." Business includes a dedicated workspace with SAML SSO and MFA; Enterprise adds data retention and data residency controls.
  • Strengths: not tied to Microsoft or Google, so it suits businesses with a mix of tools; one assistant for writing, files, analysis and research; familiar to most staff who have used ChatGPT on their own.
  • Considerations: usage limits apply per user; the $20 price needs annual billing; it works in its own app, so staff copy text in and out unless connectors are set up. Models change often, so judge it on your own tasks rather than a model name.
  • Best for: small teams that want one general assistant, such as an estate agent writing listings and emails or a shop owner preparing product descriptions.

4. Claude Team: best for teams that want to mix light and heavy users

Claude, from Anthropic, is an assistant for writing, research, working with documents and coding. The Team plan gives your company a shared workspace with admin controls, connectors and enterprise search, and includes Claude for Microsoft 365 and Claude for Outlook.

  • Pricing: Team Standard seats are $20 per seat a month billed annually or $25 billed monthly; Premium seats, with 5x more usage than Standard, are $100 billed annually or $125 billed monthly. You can mix both seat types. Team is for 2 to 150 seats and has no free trial. Enterprise is $20 per seat a month billed annually plus usage at API rates. Claude pricing.
  • Privacy (as Anthropic states it): "No model training on your content by default" on Team and Enterprise. Team includes SSO, domain verification and central billing; Enterprise adds audit logs, role-based access and custom data retention.
  • Strengths: heavier users can get Premium seats while everyone else stays on Standard; works with Microsoft 365 and Outlook; connectors to other business apps.
  • Considerations: usage limits apply per seat; no free trial on Team; on Enterprise the total cost varies with usage on top of the seat price.
  • Best for: teams of 2 to 150 that do a lot of writing and document work, where one or two people need much more usage than the rest.

5. Notion AI: best for teams that already work in Notion

Notion AI is built into Notion, the workspace many teams use for documents, wikis and projects. It includes Notion Agent, AI meeting notes without a bot joining the call, and Enterprise Search across connected apps, so staff can ask questions of the team's own pages.

  • Pricing: the full Notion AI (Agent, AI meeting notes, Enterprise Search) is on the Business and Enterprise plans, priced per member. The Free and Plus plans only include a trial of AI features. We couldn't confirm the current US dollar price from a US page, so check Notion's pricing page.
  • Privacy (as Notion states it): "Notion AI will not use your data to train our models unless you opt in." Notion's security page adds that by default its AI subprocessors don't use customer data to train models.
  • Strengths: answers come from your own wiki and documents; meeting notes land where the team already works; integrations with apps such as Slack and Google Drive.
  • Considerations: full AI requires the Business plan for every member; it's only worth it if your team actually keeps its knowledge in Notion.
  • Best for: small agencies, studios and remote teams that run their procedures, client notes and projects in Notion.

6. Perplexity Enterprise: best for research with cited sources

Perplexity is an AI answer engine: you ask a question and it searches the web and replies with sources you can click and check. Its Enterprise plans (Enterprise Pro and Enterprise Max) add admin controls and let staff search company files through connectors.

  • Pricing: priced per seat. We couldn't load Perplexity's pricing page to confirm current prices, so check Perplexity's Enterprise pricing page before you buy. There's also a free consumer version.
  • Privacy: Perplexity's enterprise pages say enterprise data is not used to train AI models. Read its current enterprise terms to confirm before you upload company files.
  • Strengths: quick research with links to the original sources, which makes answers easy to check; useful for market research, supplier comparisons and preparing for sales calls.
  • Considerations: it's mainly a research and search tool, not an assistant that drafts inside your email and documents the way Copilot and Gemini do.
  • Best for: sales, marketing and consulting roles that research a lot, alongside a writing assistant.

These assistants talk to your customers instead of your staff. On a website, they answer questions at any hour: a hotel guest asking about late check-out, a gym visitor asking about a trial class, a restaurant customer asking about allergens. Tidio combines live chat, a helpdesk and automation flows with Lyro, an AI agent that answers from your FAQs and website content and hands over to a person when needed.

  • Considerations: the AI is a separate add-on counted per Lyro conversation, so costs grow with traffic.
  • Best for: small online stores and teams where people also answer chats.

9. Intercom Fin: best for support teams

Intercom is a full customer service platform with Fin, an AI agent that resolves conversations and hands the rest to your support team. Fin can also run on other helpdesks.

  • Pricing: no free plan; a 14-day trial. Fin costs $0.99 per outcome, at most once per conversation, plus Intercom's per-seat helpdesk plans. Intercom pricing.
  • Strengths: a capable AI agent, pricing tied to resolved conversations, a mature helpdesk.
  • Considerations: seats plus outcomes are harder to predict at volume; more platform than a one-person business needs.
  • Best for: support teams in software and mid-size companies.

10. Chatbase: best for AI agents across many channels

Chatbase is a no-code builder for AI agents trained on your files and web pages, which you can put on your website and on channels such as WhatsApp, Messenger, Instagram and Slack.

  • Pricing: Free with 50 message credits a month; Hobby $40, Standard $150 and Pro $500 a month billed monthly, about 20% less billed yearly. Removing "Powered by Chatbase" is a $99/month add-on. Chatbase pricing.
  • Strengths: many channels, actions and integrations, a choice of AI models.
  • Considerations: pricing is in message credits, and one conversation uses several, so costs are harder to predict.
  • Best for: teams that want to build and connect their own AI agent.

11. HubSpot Customer Agent: best for HubSpot CRM users

HubSpot offers free live chat with basic bots, and Customer Agent, an AI agent in Service Hub that works with what your CRM already knows about each customer.

  • Pricing: Customer Agent is on Service Hub Professional and Enterprise and uses 50 HubSpot credits ($0.50) per conversation it resolves without a person. Professional has a one-time $1,500 onboarding fee. HubSpot pricing.
  • Strengths: CRM context and outcome-based AI pricing.
  • Considerations: the AI agent needs a Professional plan; best value only if you already use HubSpot.
  • Best for: businesses that run sales and service in HubSpot.

12. Zendesk AI agents: best for larger support teams

Zendesk is a customer service suite for email, messaging, social and phone, with AI agents included in its Suite and Support editions.

  • Pricing: per agent; a 14-day trial. On the European pricing page, Suite Team is €55 per agent a month billed annually (€69 billed monthly); AI agents are usage-based on automated resolutions. Zendesk pricing.
  • Strengths: mature omnichannel ticketing and a large app ecosystem.
  • Considerations: per-agent pricing with AI usage on top; built for teams, not a single owner.
  • Best for: support teams handling a steady volume of tickets across channels.

Do you need both kinds?

Often, yes, and they don't compete. A hair salon on Google Workspace might use Gemini to draft supplier emails and a staff rota, and Nexoply on its website to answer "How much is a balayage?" and "What's your cancellation policy?" at 11 pm. A clinic on Microsoft 365 might use Copilot to summarize meetings and a website assistant to answer new-patient questions.

What doesn't work well is stretching one kind to do the other's job. The team assistants in Part 1 aren't sold as a chat widget for your website (Microsoft's customer-facing agents are a separate product, Copilot Studio). A customer assistant won't write your emails. Budget for each separately, and judge each on its own job.

How to roll out an AI assistant in a small business

  1. Pick by the software you already use

    On Microsoft 365, try Copilot (or the Copilot Chat already included with eligible plans). On Google Workspace, check that your plan is Business Standard or higher. Otherwise, trial ChatGPT Business or Claude Team with two people.

  2. Start with one task

    Choose one job that eats time every week, such as replying to quote requests, writing job reports or summarizing meetings, and use the assistant only for that for a month.

  3. Check the privacy settings

    Use a business plan, not personal accounts, so the vendor's business data terms apply. Read what the vendor says about training on your content, turn on SSO if you have it, and decide which connectors (email, files) to allow.

  4. Set simple rules for staff

    Write down what may be pasted in (customer names? medical details?) and what must never be, and who to ask when unsure.

  5. Review answers before they go out

    Treat drafts as drafts: someone checks prices, dates and names before an email or document is sent. For a customer assistant, read the conversation history every week and fill the gaps it couldn't answer.

  6. Measure and decide

    After a month, compare time saved with the cost per seat, then add seats or stop.

Common mistakes when choosing an AI assistant

  • Buying the wrong kind. A team assistant won't answer customers on your website, and a website chatbot won't write your emails. Decide which problem you're solving first.
  • Using personal accounts for business work. Free individual plans don't come with the business data terms and admin controls of business plans.
  • Paying for an add-on your base plan doesn't support. Copilot needs a qualifying Microsoft 365 plan, and Gemini in Docs and Sheets needs Workspace Business Standard or higher.
  • Counting on promotional prices. Copilot Business at $18 is a first-year promotion that ends December 31, 2026. Budget with the regular price.
  • Comparing monthly and annual prices as if they were the same. $20 billed annually and $25 billed monthly are the same product.
  • Sending AI drafts without reading them. Assistants can get facts wrong; keep a person responsible for what goes out.
  • Letting a customer assistant guess. Choose one that answers only from your information and says when it doesn't know.
